The Office Manager will report directly to the Operations Manager and will be responsible for overseeing day-to-day school operations that include the following:
Students and Families
· Ensure that parents receive and complete required student health forms
· Maintain student attendance and vaccination records, and schedule annual vision screenings
· Provide student attendance information to the Operations Manager or Compliance Manager, as needed
· Manage transportation, travel arrangements, and field trips for students and staff, including related calendaring, notifications, and follow-up
· Assist with maintaining and updating family contact information, medical information, and consent form updates annually
· Prepare Back to School Night handout for parents regarding busing protocols
· Maintain neat and organized student files
· Assist with arrival/dismissal, and school bus drills
· Provide assistance during school picture day
· Assist with the creation and distribution of monthly parent newsletter
· Assist with daily school food tasks
Facilities
· Day-to-day facility walk-throughs to ensure cleanliness and maintenance are upheld
· Interface with school custodial staff for routine issues – e.g. bathroom supplies, light bulbs, etc.
· Monitor supply inventories and restock classrooms and bathrooms, daily
· Interface with cleaning service and extermination vendors
· Address ad hoc staff needs and/or direct appropriately
· Assist with all organization-wide school events (e.g., piano recital, Back-to-School night, open houses, visitors, staff meetings)
Administrative
· Answer phone calls and direct appropriately
· Welcome parents, children, and guests to the school and maintain records of visits
· Assist with onboarding and offboarding setup for new staff
· Other duties, as assigned
Minimum Education, Knowledge, and Skills
· Prior experience in operations or administrative assistant position, preferably within a Charter school or other non-profit, is ideal
· Excellent organizational, problem-solving, and planning skills
· Excellent office management skills
· Excellent interpersonal and communication skills
· Strong working knowledge of Word, Excel, Powerpoint, and Outlook software
· Demonstrated ability to work with and relate well to children with special needs and their families
· Demonstrated ability to work effectively with administrators, teachers, students, parents, and other stakeholders
· Bilingual Spanish required
