Job Title: Office Supervisory - Claims Dept

Perm Salary – up to $120K  

General Summary: 

Primarily responsible for the management of administrative tasks and staff of the Claims Department.  Expected to ensure efficient and consistent workflow of all support and administrative functions along with maintaining and providing administrative and analytical services to the Claims Department. 

Essential Duties & Responsibilities: 

  • Work with Office Supervisors in the collective management of claim administrative staff 
    • Responsible for Claims administrative staff with duties including but not limited to hiring, training, and development.
    • Coordinate and direct support services, develop departmental plans, set goals and deadlines, and implement procedures to improve productivity and customer service.
    • Responsible for ensuring claim files were established timely for all new reports and providing appropriate reports
    • Oversight of Legal Cost Containment unit; including but not limited to providing regular productivity reports, managing legal invoice reviews, identifying appropriate business rules  
    • Communicate with outside defense counsel as necessary to resolve legal billing issues
    • Prepare electronic check requisitions for Finance by approving payment batches
    • Proactively review departmental processes and procedures for potential improvements.
    • Provide administrative and analytical support to claim department management and staff.
    • Prepare, distribute, and manage various Claims reports to assist Supervisors in managing staff effectively
    • Providing support in ensuring best practices and Claims guidelines are followed consistently
    • Review, monitor, and streamline processes within the department for all vendors and monitor for compliance
    • Participate and oversee selected departmental projects mainly related to the administrative and reporting needs of the department
    • Monitor and provide quality controls and internal audits of the eOasis database
    • Regularly report to and make recommendations to assigned Directors concerning all areas of the Claims department particularly as it relates to a process, efficient functioning, workflow, and tracking of work
    • Collaborate with key contacts in other departments to ensure sharing of information
    • Work with IT on Claims process improvement initiatives
    • Review and monitor processes for efficiency and cost-effectiveness on an ongoing basis for both the Roslyn and Rochester office
    • Work closely with the Rochester office to monitor compliance with department processes
    • Maintain regular and prompt communication with all external and internal business partners.
    • Other projects as assigned

Education and Qualifications: 

  • Four-year college degree and/or a minimum of five years of supervisory experience in a professional business environment required; prior experience and/or supervision in insurance industry preferred
    • Experience managing all aspects of employee issues such as conflict resolution, performance management, punctuality and attendance, foundational knowledge of employment laws and practice, etc.
    • Ability to demonstrate effective methods of coaching and/or development of Claims administrative staff
    • Must demonstrate strong proficiency in using Microsoft Office Suite; strong technical aptitude and adaptability to learn various computer programs
    • Must be highly organized and demonstrate ability to work within prescribed deadlines to meet departmental objectives.
    • Maintain a high degree of confidentiality, especially regarding information in files
    • Must demonstrate strong analytical and strategic planning skills
    • Must be detail oriented and able to handle many administrative duties and multiple projects
    • Must demonstrate ability to maintain an effective working relationship with other departments, employees, and management
    • Excellent oral and written communication skills required.
    • Ability to function in a professional office environment and utilize standard office equipment.
